Organising a launch party for your business? here’s what you need to know

So, you're getting ready for a launch party? Congratulations! It's a thrilling step in introducing your brand or product to the world. Although it might seem a bit overwhelming, all the hard work will be well worth it.

We recently had the privilege of organising a launch party in collaboration with our client DBPHAIR, and what a journey it was! The project encompassed Brand Strategy, Brand Design, Packaging, and, of course, the launch party. We gained some incredible insights and lessons from this experience. In this blog post, we'd like to share some valuable tips and insights we picked up along the way.

Strategise for Success

Before you jump into party planning, take some time to lay a strong foundation:

  • Define Your Goal: What's the primary objective of your launch party? Whether it's increasing sales, boosting brand recognition, or generating excitement, knowing your goal will guide your decisions throughout the planning process.

  • Professional or DIY: Decide whether you want to hire an event planner or take on the task yourself. A professional can ease the burden, but a DIY approach can be more budget-friendly.

  • Know Your Audience: Understand your guest list inside out. What are their preferences, tastes, and interests? This knowledge will help you tailor every aspect of your event, from the music playlist to the menu.

  • Budget Wisely: Budgeting is a critical aspect of planning. Consider two budgets: one for the venue and one for vendors, merch, decor, rentals, and other event essentials. Don't forget to allocate funds for catering and drinks if you're offering an open bar.

  • Craft Your Event Vision: Envision what your ideal launch party looks like. Will it feature interactive activities, static displays, photo booths, or product showcases? Master the Art of Planning

Map out the day's timeline to ensure a smooth flow:

  • Guest Arrival: Determine the optimal time for guests to start arriving.

  • Activity Schedule: Plan specific activities, speeches, performances, and any interactive elements that will engage your guests.

  • Catering and Drinks: Coordinate when food and drinks will be served to keep guests satisfied throughout the event.

  • Wrapping Up Gracefully: Plan how you'll signal the end of the party, so guests aren't hurried out by security.


Sweat the Small Stuff

Don't overlook the finer details:

  • Vendor Coordination: When hiring vendors, ensure they are easily identifiable with name or brand tags and have a clear role to assist guests effectively, from serving to cleaning. 

  • Catering and Bar Selection: Tailor your menu and drink offerings to your audience, considering whether it's a standing or seated event.

  • Create a Cohesive Space: Maximise your branding on your decor and merchandise/ packaging from the entrance to the stands, bar, and tables. If you don't have a branding direction, create one that resonates with your audience and maintains a cohesive style throughout the event.

  • Craft Memorable Experiences: Elevate your guests' experience with thoughtful activities, giveaways, or interactive elements that align with your brand and resonate with your audience.


Always Have a Plan B

Expect the unexpected and be prepared:

  • Plan for Hiccups: Launch parties can throw curveballs, from vendor delays to technical glitches. Have contingency plans and be ready to adapt on the fly.

  • Quick Thinking: Be prepared to think on your feet and get creative if things deviate from the plan.


Generate Buzz

Spread the word and build anticipation:

  • Invitations: Decide on whether you have a closed or open guest list, then spread your invites through social media, email, and/or more traditional methods.

  • Countdown and Teasers: Create a buzz around your event with countdowns, teasers, and announcements of guest speakers or performers as the event date approaches.

Put yourself in your guests' shoes:

  • Clear Event Details: Ensure guests have all the necessary event information, including the address, time, and transportation or car parking options.

  • Smooth Arrival: Make it easy for guests to find the entrance and provide clear directions or a welcome board.

  • Warm Welcome: Have a team ready to greet and assist guests upon arrival.

  • Control the Flow: Plan the event space layout to guide guests through key areas, preventing congestion near the entrance.


Plan your merchandise, packaging or decor

When collaborating with DBPHAIR, we had already established their complete brand identity, including a logo suite, a colour palette, and a range of mock-ups for packaging and merchandise such as business cards, loyalty cards, thank you cards, and product boxes. Consequently, transforming the branding into event decor was a straightforward process. In addition to the existing merchandise, we incorporated the company's brand mark into various decorative elements like welcome drinks, cupcakes, and food goodie bags. We also created a welcome board, organized raffles for the guests, designed a real-life magazine cover featuring the company's brand, set up a stage area, and various other memorable displays.

When it comes to decor and packaging, the possibilities are limitless. It's crucial to ensure that whatever you decide to create maintains a consistent look and uses materials that align with your brand's message and image.

Tip: Plan well in advance for all your printing needs. Printing companies often require a minimum of two weeks for delivery. To avoid rushed deliveries and additional fees, it's best to plan ahead, including time for test prints to ensure everything is perfect.

More Tips for Success

Some additional tips that can make a significant difference:

  • Design Layout: Use Pinterest or other platforms for decor inspiration and create a detailed layout plan for seamless execution. Make sure you plan exactly how you want the space, and what journey you want to take your guests on before the assembly of the event.

  • Pre-Event Assembly: Assemble any goodie bags, product boxes, or treats well in advance to save time on the big day.

  • Timings with the Venue: Confirm the setup and event timing details with the venue to ensure everything runs smoothly during the assembly- and that you have enough time to get everything set up before the guests arrive.

  • Make sure the venue is kept clean: there’s nothing worse than seeing your freshly printed business cards ruined with food and drink rubbish. So make sure you give specific rules to your staff so that the space remains pristine until the end of the event.


Remember:

It takes a village to create an event like this. If you decide to work with an event planner, make sure you coordinate as much as possible and stay on top of every decision, but don’t be afraid of delegating when needed. If you’re organising everything by yourself, don’t be afraid to ask for help from your friends and family. Tell them your vision and make sure you give them clear instructions on how they can help.
